Billet's Letter

Billet's Letter

Dear _____________________________,

Thank you so much for billeting a Day Camp team member from Crosstalk Ministries in your home. It is through people like you, sharing the gift of hospitality, that Day Camps can continue each summer.

Approximately 30 Parishes in many areas are visited by team members each summer. These are people from Canada, and various other countries who look forward, not only to working with the children of your parish but also to meeting you and your family.

The following are some general guidelines to assist you in allowing your time with the team members to be enjoyable as possible:

1. Team members have been instructed that they are to abide by all your house rules, and to keep you informed of their various comings and goings. They are to fit into your family routine, as much as possible.

2. Team Members must abide by the curfew regulation imposed on them by Crosstalk Ministries. Since their summer commitment lasts approximately 6 weeks they could easily suffer burn out without sufficient rest. Curfew times are as follows - Sunday - Thursday nights: - home by 10 pm, in bed by 11 pm. Friday or Saturday night - home by 11 pm., in bed by midnight. We would ask you to help the Team Leader by seeing that the team members billeted in your home abide by this curfew at all times.

3. Team Members' phone calls from the homes of the billets are not to exceed 10 minutes in duration. An exception to this is the Team Leader who may find it necessary to spend longer periods of time in conversations with the Parish Coordinators, Clergy, or the Day Camp Director. In such cases the Team Leader should ask the billet to identify the most convenient time when he/she may use the phone for a longer period. Long distance telephone calls are the responsibility of the Team Members. They have been informed to make payment to you if such a call has been charged. Please let the Crosstalk Ministries office (514-484-1414) know, directly, if you have any difficulty in this area.

4. For team members under 18 years of age we have received parental consent for their billeting. We therefore expect billets to be present in the home as much as possible when Team Members are present, and to chaperone their activities during their stay with you.

5. Because team members have a strenuous schedule, we ask that they have times of privacy, and not be billeted in a room with young children, or involved with them outside Day Camps hours. Although a team member can share the same room with someone else of the same sex (either another team member, or an older member of your family) we ask that they have separate beds.

6. We ask that the billeting family provide a bag lunch each day for team members, and to secure transportation to and from the Day Camp each day. They will need to be at the Day Camp at least one hour before the children are scheduled to arrive. They are also required to attend staff meetings, at the end of the day.

7. Sometimes, at the end of the day, team members may be exhausted, and want a quiet evening and rest. Others times they may be ready for long chats and sight-seeing. This is something you can work out together each day.

8. Host families and team members often become very good friends. If this is something both parties wish to pursue, you can make arrangements for either their week off, or at the end of their summer schedule.

9. Team Members may not at any time, accept a monetary gift from a Billet.

10. All team members are answerable to, and under the supervision of their Team Leader. Difficulties concerning your billet should be communicated to your Day Camp Coordinator, who will in turn discuss the situation with the Team Leader.

I know you will enjoy your stay together, and trust that both you and your team member will be richly blessed in the relationship you will share.

Yours in Christ,
Valerie Taylor
